Isn't Microsoft 365 already backed up by Microsoft? Why do we need a third-party service?

This is one of the most common misconceptions we encounter. Microsoft guarantees the service, meaning their platforms will stay online and available, but they do not guarantee your data. As Microsoft states in their own shared responsibility documentation, you are always responsible for your data, your endpoints, your accounts and your access management, regardless of the service type you are using.

If data is lost due to accidental deletion, a cyber incident or a Microsoft outage, Microsoft will not recover it for you. A third-party backup solution creates an independent copy of your data, stored separately from Microsoft's infrastructure, that can be restored regardless of what happens to the Microsoft environment. Put simply: do not put all your eggs in one basket.

Where is our backup data stored and does it comply with UK Data Residency laws?

Yes. We use UK-based data centres as the primary storage location for all backup data. Where that is not possible for a specific reason, EU-based data centres are used as the secondary option. In either case, your data stays within compliant boundaries in line with UK data residency requirements.

How quickly can we recover a deleted mailbox or SharePoint site in the event of a disaster?

Recovery time depends on the size and complexity of what needs to be restored. Recovering a single mailbox is a different task to recovering multiple sites after a major incident, and our aim is always to restore access as quickly as possible.

In the event of a significant incident, it is likely that more than one mailbox or site will need attention. This is where having a business continuity and disaster recovery (BCDR) plan in place becomes essential: it defines which systems and data are most critical, which to restore first and how much data loss the business can tolerate. We work with you to build and test that plan, so that if the worst happens, the response is structured rather than reactive.

Can your service protect us from ransomware that encrypts our OneDrive and Teams files?

Yes, we can. Our service adds independent backup and recovery to your Microsoft 365 environment, allowing you to restore files, folders or entire environments to a known “good point in time”.

The level of protection depends on factors such as how far back you need to restore, how quickly you want to recover and how critical the data is. These are all things that you will work out when creating a Business Continuity and Disaster Recovery plan.

We always recommend that you keep a backup with an entirely different provider to minimise your risk.
