This is one of the most common misconceptions we encounter. Microsoft guarantees the service, meaning their platforms will stay online and available, but they do not guarantee your data. As Microsoft states in their own shared responsibility documentation, you are always responsible for your data, your endpoints, your accounts and your access management, regardless of the service type you are using.
If data is lost due to accidental deletion, a cyber incident or a Microsoft outage, Microsoft will not recover it for you. A third-party backup solution creates an independent copy of your data, stored separately from Microsoft's infrastructure, that can be restored regardless of what happens to the Microsoft environment. Put simply: do not put all your eggs in one basket.
Yes. We use UK-based data centres as the primary storage location for all backup data. Where that is not possible for a specific reason, EU-based data centres are used as the secondary option. In either case, your data stays within compliant boundaries in line with UK data residency requirements.
Recovery time depends on the size and complexity of what needs to be restored. Recovering a single mailbox is a different task to recovering multiple sites after a major incident, and our aim is always to restore access as quickly as possible.
In the event of a significant incident, it is likely that more than one mailbox or site will need attention.
