Why isn't having our data in the Cloud (Microsoft 365/Google Workspace) enough of a backup?

It is a fair assumption to make, but an important one to correct. Microsoft and Google guarantee the availability of their services, meaning their platforms will stay online, but they do not guarantee the safety of your data. Your data is, and always has been, your responsibility.

According to Microsoft's own shared responsibility model, you are always responsible for your data, your endpoints, your accounts and your access management. If your data is lost due to accidental deletion, a cyber incident or any other cause, Microsoft will not recover it for you. A third-party backup solution creates an independent copy of your data stored separately from the cloud service. If something goes wrong, that backup can be restored. It is the IT equivalent of not keeping all your eggs in one basket, and something we consider essential for any business that takes continuity seriously.

What is the difference between a simple file backup and a full Bare-Metal disaster recovery solution?

A simple file backup protects individual files and folders. It allows you to recover lost or deleted data, but it does not restore the system itself. Rebuilding a server after a major failure still requires reinstalling the operating system, applications and settings before files can be put back.

A Bare-Metal Disaster Recovery solution goes much further. It captures the entire system – operating system, applications, configurations and data – so you can restore a full server or machine from scratch, often to new or replacement hardware or into the cloud.

How quickly can you get us back up and running if we are hit by ransomware?

The honest answer is: it depends, and we would rather be upfront about that than give you an unrealistic guarantee.

Following a ransomware attack, we work to restore your environment from a clean backup, effectively rolling back your systems to a point before the attack occurred. We work in line with your business continuity and disaster recovery plan, which defines which systems are most critical to get back online first and how much data loss the business can absorb. The speed of recovery depends on the scope of the attack, the integrity of your backups and the complexity of your environment. What we always do is act as quickly as possible, communicate clearly throughout and work to close the vulnerability that was exploited once you are back online.

Where is our data physically stored? Is it kept within UK data centres for sovereignty?

Yes. All backup data is stored in UK data centres wherever possible and appropriate. Where UK data centre storage is not feasible for a specific reason, EU-based data centres are used as the secondary option. In either case, your data remains within compliant geographic boundaries.

Do you offer a fully managed service, or do we have to monitor the backups ourselves?

It is a fully managed service. We handle the backup configuration, ongoing monitoring and test restores, and we lead the recovery effort if you ever need it. Your team does not need to check dashboards, chase reports or wonder whether the backups are running. We take care of it in the background so you can focus on your business.

How do you help us meet our GDPR obligations regarding data retention and Right to be Forgotten?

A well-managed backup solution gives you the visibility and control needed to respond correctly to a Right to Erasure (Right to be Forgotten) request under UK GDPR. Specifically, it helps by:

  • Identifying where an individual's personal data exists across backups, archives and historical snapshots
  • Enabling selective deletion or expiry of that data, rather than retaining it indefinitely
