It also includes a Copilot Chat function, much like you would be used to with ChatGPT, where you can speak to an intelligent chatbot to ask questions and create content, both written and graphical.

The different Microsoft Copilot options

Web version and Edge extension

Copilot Web is a chatbot software that you can ask questions or provide prompts, much like the likes of ChatGPT. The Edge extension has similar capabilities, but you can access it alongside any webpage when you're using Edge. These versions are completely free, and you can use these to ask questions, compose emails or content, summarise complex webpages and more.

Desktop version

Also a free version of Copilot, this is a downloadable version of Copilot chat. It can do everything the web version and Edge can and more. It's designed to additionally answer questions and perform basic tasks on Windows machines, helping you to understand settings and shortcuts or even perform these tasks for you. It can also help perform complex tasks like editing documents, checking your grammar or even assist you with coding!

Copilot 365

This is the comprehensive version of Copilot that comes with all of the previous features and integrates seamlessly with your other Microsoft 365 programs. This version is paid, but provides far more functions, better performance and priority access to the best language models. Some examples of what Copilot 365 can do is: creative writing assistance; domain-specific knowledge (e.g. programming, science, language); multilingual support (including English, Chinese, Japanese, Spanish and more); task automation; and advanced code generation. The possibilities are endless!

Microsoft Copilot FAQs

How can we demonstrate the tangible productivity ROI of a Microsoft Copilot deployment to our stakeholders?

The most persuasive approach is to combine measurable data with real examples from your own team, rather than relying on general industry statistics that stakeholders may have already seen.

A structured 30-day trial is a good starting point. Use it intentionally and consistently, focusing Copilot on specific tasks where productivity gains are most likely: drafting documents, summarising meetings, responding to emails, analysing data. Before the trial begins, establish a baseline for how long those activities currently take. Once it is complete, compare.

Alongside the time-saving data, collect qualitative feedback from your team. What did they find genuinely useful? What would they miss? Stakeholders respond well to the combination of numbers and human context. It makes the case feel grounded rather than theoretical. We can help you structure the trial, track usage and adoption across Microsoft 365 and produce a clear summary that translates productivity improvements into business terms your board can act on.

What are the most common implementation pitfalls other London businesses have faced?

The mistakes we see most often come down to a few recurring themes:

  • Poor data readiness: Copilot works from your data. If your SharePoint is disorganised or permissions are inconsistent, Copilot will surface the mess. Getting your data in order before deployment is essential.
  • Unclear use cases: rolling out Copilot without defining what you want your team to actually do with it leads to low adoption and disappointing results. Start with two or three high-value use cases per role and build from there.
  • Insufficient security and governance: Copilot respects your existing permissions, but that only helps if your permissions are set correctly. A readiness assessment beforehand is strongly recommended.
  • Lack of training and change management: people need to understand how to get the best out of Copilot, demonstrated in the context of their actual work. Generic training rarely sticks.
  • Expecting instant results: the gains come with consistent use and deliberate application.
  • Not measuring outcomes: if you do not track what changes, you cannot demonstrate value. Build measurement in from the start.

We offer Copilot readiness assessments, security checks and practical guidance throughout implementation to help you avoid all of the above.

How do we ensure Copilot doesn't accidentally surface sensitive internal data to the wrong staff?

Copilot operates within your existing Microsoft 365 permissions. It can only surface content that the individual user already has access to. If your permissions are correctly configured, Copilot will not expose anything that should not be visible.

The risk comes not from Copilot itself but from overly permissive SharePoint structures or incorrect access controls. This is why we always recommend a Copilot readiness assessment before deployment. It looks specifically at how your data is structured and whether your permissions are set appropriately, so you can address any issues before they become a problem.

What does a successful user adoption and training programme look like to ensure staff actually use the tools?

The most effective Copilot adoption programmes share a few common characteristics:

  • Practical and role-based: training grounded in real tasks, not abstract feature tours. Show people what Copilot can do for their specific job.
  • Clear use cases by role: different people get value from Copilot in different ways. Tailor the guidance accordingly.
  • Leadership buy-in: when managers actively use and champion the tool, others follow. If it is seen as optional or marginal, adoption suffers.
  • Bite-sized and ongoing: short, focused sessions work better than one-off deep dives. Reinforce learning over time.
  • Measurement and feedback: track usage, collect feedback and adjust the approach based on what is working.

We have a library of articles, tips and videos to support your training programme, and our engineers are on hand to answer questions as your team gets up and running.

Can you support the development of custom AI agents using Microsoft Copilot Studio?

Yes. We have engineers actively working in this space, building and refining custom AI agents both for internal use and for clients. Whether you need guidance, templates or hands-on development support, we can assist with creating Copilot Studio agents tailored to your specific workflows. If this is something you are exploring, we are happy to have an early conversation about what is possible.

Why is a managed service model recommended for Copilot rather than a one-off installation?

A one-off installation gets Copilot switched on. A managed service gets you the most out of it over time.

Copilot is not static. Microsoft updates it regularly, your business evolves and the way your team uses it will change as they become more comfortable with the tool. Having a partner who uses Copilot themselves, understands your business and processes and is available to help you navigate security questions, permissions issues or new features makes a genuine difference. You can find advice online for most things, but there is real value in a partner who knows the context behind the question.
