AV Setups FAQs
The ROI case for a dedicated Teams Room comes down to one thing: how much time your team currently loses to meeting room friction. If you have ever spent the first five minutes of a meeting troubleshooting microphones, wrestling with cables or trying to figure out why nobody can hear the people dialling in, that time has a cost. Multiply it across every meeting, every week, for a full year, and the figure becomes significant.
A properly set up Teams Room eliminates that friction entirely. One-touch join, consistent audio and video quality, and a setup that works reliably every time. To make the case to the board, estimate the average time lost per meeting to technical issues, multiply by the number of meetings per week and attach a cost based on the hourly rate of those in the room. That figure, compared against the cost of the Teams Room setup, typically makes a compelling argument.
For most of the clients we work with, the most practical and effective approach is an all-in-one bar solution: a single device combining a high-quality camera, microphone array and speakers in one clean unit. Paired with a Teams Room licence and a display screen, this gives you a professional meeting room setup without unnecessary complexity.
The right solution for your specific space depends on the size of the room, how many people are typically in it and how it is used. A small huddle room needs a different setup to a large boardroom with participants spread across a long table. We assess the space and recommend accordingly, handling installation, configuration and training as part of the project.
We secure Microsoft Teams Rooms primarily through policy-based controls, aligned to how the rest of your Microsoft 365 and corporate network is managed.
In practice, this means:
- Applying dedicated Teams Room policies to control sign-in, features and device behaviour
- Restricting access so the room system can only do what it needs to do, and nothing more
- Managing updates, configurations and settings centrally to keep devices consistent and secure
- Ensuring the room account follows your identity, access and security standards, just like any other corporate user or device
The result is a Teams Room that integrates smoothly into your environment, remains easy for users to operate and is secure by design without adding unnecessary complexity.
The engineer who sets up your Teams Room will walk through how to use the system with whoever runs your meetings, so you are ready to go from day one, not learning on the job in front of your first group.
If additional users need training later or someone needs a refresher, we can do that remotely. If something is not working as expected, we are available to troubleshoot remotely and will come on-site if the issue requires it.
Both platforms deliver the same core Teams Room experience: one-touch join, high-quality audio and video, and a familiar interface your team will recognise. The differences come down to room size, feature requirements and your preference for simplicity versus flexibility.
Teams Rooms on Android are all-in-one bar devices with the computer built into the unit itself, eliminating the need for a separate PC. They are simpler to deploy, generally less expensive and better suited to smaller meeting rooms and huddle spaces. Android devices tend to receive new Teams features slightly later than their Windows counterparts.
Teams Rooms on Windows use a dedicated mini PC connected to separate audio and video peripherals. They offer greater flexibility in hardware choice, support more complex peripheral configurations and receive new Teams features first. They are the stronger choice for larger boardrooms or environments with more demanding AV requirements, such as multi-camera setups or specific display configurations.
In practice, we typically recommend Android for most standard meeting rooms and smaller spaces, and Windows for larger or more complex environments. We are happy to assess your specific rooms and advise on what makes sense for each.
Teams Room setups involve multiple components working together: the licence, the hardware, the network configuration and the software. When everything is working well, it is seamless. When something goes wrong, diagnosing which part of the setup is the problem can be time-consuming without the right expertise.
With a support contract in place, you contact us and we will resolve it, remotely if possible, on-site if needed. Without one, you are likely to spend significant time troubleshooting something we could fix quickly, or end up going back and forth between hardware manufacturers and Microsoft without a clear answer. For something your team relies on for daily meetings, that is a frustrating and costly position to be in.
